Adding Images

Overview

Types of images

This topic deals with both photographic images and videos but this topic refers to both as “images.” PDF files are documents – not images.

Only image files with the following file name extensions can be uploaded to the web site: jpeg, gif, png, and jpg. DO NOT TRY TO UPLOAD TIFF FILES.

Attaching images to Items or Soldiers

The WordPress system provides for the “attachment” of images to “posts.” (In the context of this web site, both “items” and “soldiers” are types of posts.) Attached images are displayed when the user displays all of the details of an “item” or “soldier.”

ALL images that are uploaded to this site by users who are not Administrators must be “attached” to either an Item or a Soldier.

Images can be attached to posts in two ways:

    • A “featured image” will be displayed at the top of any screen that displays the whole post. If you have only one image, attach it as the “Featured image.” Only one featured image per post is possible.
    • If you have more than one image, select the most appropriate to be the featured image and attach the others as a gallery.

 

One image can be attached to several Items and several soldiers. There is no need to upload several versions of the same image to accomplish this. In fact, doing this just consumes expensive file storage and makes it more difficult to maintain the database.

Images can be attached to an Item or a Solder record when the record is being created or at a later date.

Replacement images

Occasionally you may need to replace an existing image if a better quality image become available. You MUST follow the procedure described in the Replacing an Image article.

Items

This type of content represents an object that belongs to the Museum. There are two scenarios that must be considered:

  1. Photos. In many cases, the item in the database represents a photo: There are two scenarios that must be considered:
    1. The museum has a hard copy of a photo. The photo must be scanned and the scanned image attached to the item as the “featured image. ” (Change “Image type” from “Hard copy only” to “Both hard copy and digital.”)
    2. The museum only has a digital image. In other words, the museum does NOT have a hard copy of the photo. This image must be attached as a featured image.
  2. Other items. Attach a picture of the item itself as the “featured image”. In some cases, we may want to show multiple images of a item to show it’s reverse or detail of its condition. These can be attached in the “Secondary images gallery.” See Adding an item for context.

Soldiers

The featured image should be used only for a photo of the soldier. Other photos (grave markers, etc.) should be attached in a gallery. However, if we do not have a photo of the soldier, using another photo (e.g. a headstone)  as the featured image may be appropriate.

Summary of steps involved

There are three steps involved in adding images to a post or portfolio item:

  1. Re-name the image file as instructed below.
  2. Upload the image file or select an existing image and link the image to the “Item” or “Soldier.”
  3. Edit the caption, etc. on the web site.

It is absolutely essential that you follow these instructions carefully. There are thousands of images stored on this web site and, therefore, it is essential that administrators be able to easily locate and edit/delete images.

Naming image files

  1. Rename the file before uploading it. When you upload a media file, WordPress will automatically use the file name (less the file extension) as the “Title” of the file. You can edit the Title once the file has been uploaded.
  2. If an image is to be associated with an ‘item’, then the title of the image must clearly describe the subject of the image since titles are used in searching for media items. Example: An oil painting or photo. Don’t just name the file “LCol Bent.jpg” Instead use something like: “LCol Bent – oil painting.jpg”.
  3. If an image is to be associated with a ‘soldier’ then name the file with the name of the soldier (last, first) followed by any suitable text. If the person’s name is similar to others, include the soldier’s service number in the file name. Example: Name a photo of a headstone as follows: “Headstone Pte Bloggs JG headstone.jpg”
  4. Do not use commas in image file names.

Uploading / attaching images when adding a soldier or item

The only allowed file types are: jpeg, gif, png, and jpg. On the Edit Item or Edit Soldier screen:

Featured image

Look for the Featured image box (usually at the top of the column on the right hand side of the screen. Click on “Set featured image.”

Secondary images gallery

Scroll down to the Secondary images gallery field. Click on the Add to gallery button (in the lower left corner of that field.)

All images

Now you can either upload a new image or select one that is already in the media library. (Detailed information on the Media Library screen is HERE.)

Uploading new image

  1. You are now on the Media Library screen. Click on the Upload files tab in the upper left corner.
  2. Navigate to where the images are stored (probably somewhere on your computer.)
  3. Drag the image(s)  you are uploading on to the screen OR click the Select files button and click on each of the file(s) you are uploading. (It’s probably simpler to add one image at a time a when adding a featured image you can only upload one image.)
  4. Wait until the web site indicates that the uploading is complete. Then, in the column on the right hand side, edit the title if required) and add the caption.

Select existing

You are currently on the Media Library with images displayed in Grid view. Enter a search term in the search box in the upper right corner of the screen and press Enter or click Search. Select the image you want, then click the image thumbnail. The search function looks at both the Title and the Caption fields of all attachment records to find images. So if the image title or caption does not contain your search term, it will be very difficult to find the image.

Uploading / attaching images to an existing soldier or item

Remember that the only allowed file types are: jpeg, gif, png, and jpg. Go to the Edit Soldier screen or the Edit Item screen.

Featured image

Look for the Featured image box (usually at the top of the column on the right hand side of the screen. Click on “Set featured image.”

Secondary images gallery

Scroll down to the Secondary images gallery field. Click on the Add to gallery button (in the lower left corner of that field.)

All images

Now you can either upload a new image or select one that is already in the media library. (Detailed information on the Library screen is HERE.)

Edit images

If you forget to edit the title or add a caption when you upload an image, these fields can be edited at any time. See Editing image titles and captions.
