Editing an ‘item’
Who can edit an item?
Contributors and above can edit any Item.

IMPORTANT: To change an existing classification or location code, you must first completely delete the existing code(s).
Locate and edit the item
There are two ways to locate the item you want to edit:
Dashboard (web site ‘back end’)
Go to the Admin page (called Dashboard) by clicking on “48th Museum” in the upper left corner of the screen. Select Dashboard, click the “Items” menu item on the left of the Dashboard page then click “All items.”
Find the Item you want to edit by searching for the Item using the search field in the upper right corner of the screen. Enter one or two of the words in the title of the item you are looking for then click the “Search Items” button.
When you find the Item you want to edit / republish, click the Title of the Item. You can also hover your mouse over the title of the Item and select the appropriate action that will appear below the title. To edit an Item, select “Edit.”
IMPORTANT: When you have completed your changes, be sure to click the Update button in the upper right corner of the screen.
Search artifacts (use the ‘front end’ to search)
Open the Search > Artifacts only screen. Find the Item you want to edit and click on the More button. Click on the Edit item button in the Admin bar at the top of the screen and make your changes on the screen which opens.
Finishing up
WAIT! You aren’t finished! When you edit an existing item that has already been “Published”, the Museum Manager will NOT be notified that you have made changes. If you have made any substantive changes to the item, then proceed as follows:
- Set the “ Item status” to “Verification Req’d” and press Update again.
- Then send a notification to the Museum manager. (See below.)
if you have not made any substantive changes (e.g. you just corrected a typo or a spelling mistake or you improved the formatting of the text), there is no need to notify the Museum manager of the edit.
Sending a notification
Send an email to the Museum manager. If you started the edit process by finding the Item from the Dashboard, you can use the “Email users” facility to quickly create a perfect notification. Click on “Notify users about this post” in the right hand column. On the screen which appears, select “Editor” in the “Choose group recipients” field. Scroll down to see the message that will be sent. Click Send Email.
