Maintaining taxonomies

Overview

A taxonomy is the hierarchical classification of artifacts, documents, digital assets and other information.

The following taxonomies have been created for ‘items’:

  • Eras. Era codes represent the age range relative to the items in the collection and allow you to segregate the items to facilitate management and display of items.
  • Locations. The system allows you to specify in detail where each item is located. It does this by allowing you to specify a location code and optionally a “sub-location” code. A location code can refer to a display case, a room, a building, a wall, a filing cabinet, etc. You can optionally specify that a particular location has “sub-locations.” Sub-locations might indicate: boxes in a storage room, compartments in a display case, drawers of a filing cabinet, binders on a shelf, etc.
  • Classifications. Classification codes allow you to segregate Items to facilitate management of your collections. For example, identifying items as “weapons” will allow you to focus on the security and maintenance of these items.
  • Collections. The system allows you to group together a number of items into a “collection.” A collection can be a group of items donated by a person or organization. You can also use this feature to group together items for any other reason.
  • Item status. Status codes are used to help in the administration and tracking of items.
  • Condition codes. Condition codes allow you to ‘flag’ items for repair or restoration, to indicate that damage has already been observed and recorded, etc.

Who can add / edit / delete codes?

Only users with Administrator or Editor roles can make changes to the lists of available taxonomies.

Add a new code

On the Admin (Dashboard) page, click either Items or Soldiers then click the taxonomy you want to add to. In the left hand column, enter the Title of the new taxonomy. Keep it short.

The “slug” will be created automatically.

If the new taxonomy is a child of another taxonomy (i.e. it is a sub-location or a sub-classification) be sure to select the “parent” of the new taxonomy.

Click Save.

Edit existing codes

Usually, the only reason to edit a code will be to change it’s name. On the Admin (Dashboard) page, click either Items or Soldiers then click the taxonomy you want to change.

Hover your mouse over the Title of the entry you want to change then click “Edit.” Enter your changes then click Save.

If the taxonomy is a child of another taxonomy (i.e. it is a sub-location or a sub-classification) be sure to select the “parent” of the new taxonomy.

Deleting codes

Only Administrators can delete codes.
